The first step in streamlining how CareerSource Central Florida operates was to implement ApplicationXtender document management software as an electronic repository for all electronic and scanned documents. Document management is the core to any workflow automation system. Whether onsite or offsite at our Tampa and Orlando service bureaus, Image One can scan any backfile of case files as well as personnel files, invoices and anything else trapped on paper, microfilm or microfiche.
For case managers needing supervisor approval, we implemented AX Workflow Manager for CareerSource Central Florida. This helps to get approvals faster and, if something is not approved, workflow manages what needs to be corrected to gain approval. There is no better way to streamline any process, including HR onboarding, benefits enrollment and invoice processing.
We implemented Formatta eforms for CareerSource West Palm Beach to capture information directly from applicants so paper doesn’t need to be scanned in nor is manual data entry needed. Signatures are captured electronically. This frees up CareerSource staff so they can help Floridians instead of processing paperwork. Some branches haven’t yet made it to eforms, preferring to scan these documents along with driver’s licenses, which we also have set up for them.
The Net Effect
By streamlining the ingestion of documents and the approval process, both CareerSource locations can now process more case files to help more Floridians in need without adding personnel. Read more in our CareeerSource case study here.
