Document conversion services help courts optimize workflow

More courts at the state and county level are embracing paperless efforts through conversion services and document management. According to the Polk County Itemizer-Observer, the Polk County Circuit Court recently embraced the digital age and migrated operations to a paperless system.

By utilizing document conversion services and the right information management software, Polk County was able to address a critical issue within its daily operations – missing case files. Too frequently urgent emails had to be sent to circuit court staff reading "Please search your work area for case file No. X," the news source reported. However, thanks to improved document management software, the court has digitized its records and staff no longer need to go searching for key case files.

"I haven't seen one of those emails since we did this," Polk County Presiding Judge Monte Campbell told the news source.

While it took some time, the court system utilized conversion services to migrate their older records to the new system and optimize workflow around modern technology. This improves productivity, file accuracy and public visibility. The previous records system the court used was decades old.

"There were only two people who were left in the state who could fix the system," said Campbell. "It's a system that was going to break at some point and it was getting larger because there's more cases being filed. It was going to break at a bad time."
