County records reported to be in disarray

Tuesday, August 21, 2012

Hays County, Texas, could use a lesson in document management, according to the Austin American-Statesman. An internal assessment of recordkeeping in some of the county's various offices found that around $100,000 in "unnecessary scans" had occurred and staff were accidentally destroying paperwork that needed to be stored with alarming frequency.

In addition to records management issues, the county also noted problems with its storage facility as well, with damaged or moldy paperwork being left to rot. Melody Barron, a county librarian in charge of the evaluation of recordkeeping and retention, told the news source that some departments don't even properly organize files before putting them into storage. They simply fill boxes and move them away.

Information management is vital to any organization or business, as it helps keep files and data well organized and in usable condition while maintaining retention compliance as well. However, many offices see the same disarray that Hays County has reported. In order to get a handle on is records management and improve workflow in general, a business needs to invest in the right solution.

With document imaging and digital management, any organization can improve its records archiving, keep its information safe and improve productivity throughout its offices. Records management is a responsibility not to be taken lightly, and by doing it right a business can save money, storage space and work more efficiently overall.
