Some organizations make the change to electronic information management to make accessibility easier, while others are forced to to stay compliant with federal, state or local laws. No matter the motivation for the switch, those who digitize their records often enjoy cost savings, premium security features and quality benefits that come with electronic records.

According to the Denton Record-Chronicle, the Denton, Texas, county commissioners recently decided to move the responsibility of records management to the IT department.

"The IT department is well equipped to linearly integrate records management, given the fact the department uses a lot of computer technology in its recordkeeping," Commissioner Hugh Coleman told the newspaper.

The aim is to invest in new records retention strategies and bring all electronic tactics up-to-date, the Record-Chronicle reported. The organization also wants to make historical records more available to the public via computers, the source said.

The Daily Nation explained that electronic records can also help ensure the accuracy and legitimacy of records, because handwritten files are often prone to errors.  The source also suggested using the transition period to dispose any unnecessary documents that are simply taking up space.
